We are happy to suggest the following packing guidelines. While we have had good results using them, we also recommend following any recommendations from local sources such as packing services or the UPS or FedEx counter personnel. Both UPS and FedEx publish their own packing guidelines and it is important to follow these as it may affect any damage claims. These can be found at:
Packing the horn in the case: It is important to stabilize the horn inside the case. Pack the horn inside the case using bubble wrap to secure the horn from moving. It is a good idea to roll up some bubble wrap and put it inside the bell to brace the horn against the side of the case.
Selecting a box: Use a sturdy new box that allows for 2" cushion on all sides. We normally use a dish pack (18"x18"x28") size box for fixed bell cases and a 26"x16"x19" size box for detachable bell cases.
Packing the horn case in the box: For fixed bell cases, place the case in the box with the bell up. If placed with the bell down, the case will settle at the bottom of the box and be much more susceptible to damage whenever the box is set down (or dropped). For detachable bell cases, lay the case flat or standing up, whichever fits best inside the box. Be sure to suspend the case in UPS / FedEx approved packing material so that the case does not move and does not touch the sides of the box. NOTE: FedEx and UPS do not always consider foam "peanuts" to be cushioning. They are sometimes classified as "void fill," especially for heavier items. Bubble wrap, crumpled paper, air filled bags or foam are preferred in our experience with these carriers. Foam in place, or foam in bag systems are the best and preferred systems.
Insurance: All carriers refer to insurance as declared value. Always declare the full value of your horn in case of damage or loss. Please also pay careful attention to the packing guidelines as claims can and will be denied if the horn is not packed to the shippers standards.
Another note: Professional packers/shippers can save a lot of time. You will pay for their services but it may be worth it to you. There are two cautions:
- 1) These stores will generally charge you more for the declared value than the carriers charge. This markup is supposed to cover their time and trouble should there be a claim. You might try to negotiate a lower rate due to the high dollar amounts of insurance coverage.
- 2) The UPS Store is not owned by UPS and the stores are individually owned and operated. There is no set policy for the chain of stores, and some are better than others. If you do not feel comfortable with any store or carrier, go somewhere else. Office supply stores usually have a shipping department as well.
